Identity provides the ability to add, remove, and/or suspend members of the workspace. Since PlaidCloud members can be members of multiple workspaces, removing a member from the workspace does not delete the member account from PlaidCloud.

Adding a member is an invite: you choose a role and enter one or more email addresses, and each address gets its own new member account with that role.

To invite members:

  1. Open Identity
  2. Select the “Member” tab
  3. Click “All” in the dropdown menu to display members
  4. Click “Add Workspace Member”
  5. Under “Invite as”, choose Viewer or Builder (see Viewer vs. Builder)
  6. Enter a first name, last name, and language
  7. In the “Email(s)” field, enter one email address per line to invite multiple people at once
  8. Click the “Create” button

Each invited address becomes its own new member with the role you chose. In a workspace that doesn’t enforce single sign-on, every invited member — Viewer or Builder — receives the same welcome email with a set-password link. In a workspace that enforces single sign-on, invited members sign in through your identity provider instead, so no set-password email is sent.

The role you choose grants that member’s workspace-level capability right away — a Builder can immediately create and edit content anywhere they have project access. Inviting doesn’t add the new member to a specific project on its own, though: grant access to individual projects separately, at any time, from each project’s member list.

A member’s role sets their workspace-level capability — what kind of thing they can do once they have access to a project:

  • Viewer — read-only access. Free and unlimited on every plan, so you can invite as many viewers as you like. This is the default role for a new invite.
  • Builder — can create and edit content. Builders count against your plan’s build-seat limit (the Free plan includes one).

The invite form shows a seat-usage note that updates as you switch roles, telling you whether the role you picked is free or uses a build seat, and how many seats your plan includes. Inviting, or later promoting an existing member to, Builder is blocked once your plan’s builder-seat limit is reached — Viewer is unaffected, since it’s free and unlimited on every plan. Contact your administrator to add seats if you need to invite more Builders.

After adding a new member, a welcome email is sent to their provided email address — unless the workspace enforces single sign-on, in which case there’s no password to set and no email is sent; the new member signs in directly through your identity provider. The email includes a single Set your password link: the new member clicks it, chooses a password, and signs in — there’s no separate step to first request a one-time code. The link is secure, works once, and expires after 24 hours; if it expires before it’s used, the member can request a fresh one from the sign-in page. If a welcome email isn’t delivered, PlaidCloud automatically retries it, so a new member is never silently locked out. The welcome email can be customized to provide additional information relevant to the new member’s PlaidCloud use.

To update or view the welcome email:

  1. Open Identity
  2. Select the “Member” tab
  3. Click “Email Welcome Message” from the dropdown menu
  4. Make any additions or changes desired
  5. Click the “Update” button

To view the current member sessions:

  1. Open Identity
  2. Select the “Member” tab
  3. Click “Session Manager” in the dropdown menu

From this table, it’s possible to view session information (current sessions and last activity), as well as terminate sessions if desired.

To terminate a session:

  1. Highlight the member(s) you wish to logout
  2. Click the “End Selected Sessions” button in the upper left

Distribution lists, Distros, are simply email distribution lists managed within PlaidCloud. They provide an easy way to quickly send reports, files, and/or other information to groups. The Distribution list feature allows for the management of lists on a workspace by workspace basis. This eliminates the need to rely on external lists that may over or undercover the intended audience.

To manage lists:

  1. Open Identity
  2. Select the “Distro Lists” tab
  3. Click the “Create New Distro List” button to create a new list
  4. Complete all required fields of the Distro List form
  5. Click the “create” button

To manage workspace members for each list:

  1. Select the workspace icon (cloud) in the table
  2. To manage non-members, click on the globe icon.
